Please review the following policies and procedures carefully, as they outline important information regarding our therapeutic services and working relationship.
Our goal is to support individuals, couples, and families in improving emotional well-being, strengthening relationships, and creating meaningful change. We strive to provide culturally responsive, collaborative, and evidence-informed care tailored to each client’s unique needs.
Therapy is a collaborative process. During the first few sessions, your clinician will work with you to:
● better understand your concerns and goals
● discuss treatment recommendations
● create a personalized treatment plan
● answer any questions you may have regarding the therapeutic process
Please understand that therapy outcomes vary from person to person, and progress depends on many factors including participation, consistency, and life circumstances. If at any point we determine that another provider or level of care may better support your needs, appropriate referrals may be provided.
Sessions are scheduled by appointment only.
Typical session lengths include:
● Individual Therapy: 53–60 minutes
● Couples/Family Therapy: 60–75 minutes
● Psychiatric Evaluations: 60–90 minutes
● Medication Management Follow-Ups: 20–30 minutes
Clients are encouraged to arrive on time for all appointments. Late arrivals may result in
shortened sessions to respect the schedules of other clients.
We require at least 24 hours’ notice for cancellations or appointment changes. Appointments canceled with less than 24 hours’ notice, as well as missed appointments (“no-shows”), may result in a late cancellation fee or $100 charge fee. Repeated missed appointments or excessive cancellations may result in discharge from services. Exceptions may be made in cases of emergency or unforeseen circumstances at clinician discretion.
Payment is due at the time of service unless other arrangements have been made.
We accept:
● Major credit/debit cards
● HSA/FSA cards
● Electronic payments
A valid credit card may be required to remain on file for all clients. Self-pay rates and insurance information are available upon request and may also be listed on our website. Clients are responsible for understanding their insurance benefits, coverage limitations, deductibles, copays, and authorization requirements.
Healing Minds Trio LLC may participate with select insurance providers. Insurance coverage does not guarantee payment for services.
Clients are financially responsible for:
● copays
● coinsurance
● deductibles
● non-covered services
● denied claims
Out-of-network clients may request superbills for possible reimbursement through their insurance carrier.
Phone calls, emails, and portal messages are intended for administrative or scheduling purposes only.
Please note:
● Email and text messaging are not guaranteed to be fully secure.
● Clinical emergencies should NOT be addressed via email or text.
● Response times may vary, but we aim to respond within 24–72 business hours.
Healing Minds Trio LLC is not a crisis or emergency service provider.
If you are experiencing a mental health emergency or are in immediate danger:

● Go to your nearest emergency room
● Contact 988 Suicide & Crisis Lifeline by dialing 988
If clinically appropriate, emergency contacts or emergency services may be contacted to
support client safety.
Your privacy is extremely important to us.
Information shared during therapy is confidential except in circumstances required by law, including but not limited to:
● suspected abuse or neglect of a child, elder, or vulnerable adult
● risk of serious harm to self or others
● court orders or legal requirements
● medical emergencies requiring coordination of care
Additional details regarding confidentiality and HIPAA rights will be provided within intake
documentation.
Telehealth sessions are conducted through HIPAA-compliant platforms.
Clients participating in telehealth services acknowledge:
● technology interruptions may occur
● privacy cannot be guaranteed if clients attend sessions in public/shared spaces
● they are responsible for ensuring a confidential environment during sessions
To maintain professional boundaries and protect client confidentiality:
● clinicians do not accept personal friend/follow requests from current clients
● communication through social media platforms is not permitted for clinical matters
● clients are not obligated to engage with any social media content associated with the
practice
Under the No Surprises Act, clients who do not use insurance or who choose not to submit claims to insurance have the right to receive a Good Faith Estimate explaining expected healthcare costs.
Clients may request a Good Faith Estimate before scheduling services.
Clients have the right to:
● ask questions about treatment
● participate in treatment planning
● refuse treatment recommendations
● request referrals
● receive respectful and ethical care
● discontinue therapy at any time
We value open communication and encourage clients to discuss any concerns directly with their provider whenever possible.
If additional support is needed, clients may contact practice leadership or the appropriate professional licensing board within the State of New Jersey.
Healing Minds Trio LLC reserves the right to update or modify policies and procedures as needed. Updated policies may be posted on the website or provided through the client portal.
